Lead, Grow, and Make an Impact in a Practice That Invests in You

Are you an experienced dental Operations Manager looking for more than just managing the day-to-day? Are you a grounded, emotionally intelligent leader who thrives on developing people, improving systems, solving challenges, and driving business success? At Brooklyn Oak Dental Care, we’re looking for a collaborative, growth-minded leader who values accountability, takes initiative, and wants to make a meaningful impact.

About the role

We’re an independently owned, upscale dental practice in Park Slope, Brooklyn, known for personalized patient care, advanced dentistry, and a commitment to treating people with compassion and respect.

We're hiring an Operations Manager to be the owner's partner on the ground: someone who knows the business, runs the office day to day, leads the team, and helps the practice grow.

The doctors focus on patient care. You make sure everything around them works.

What Makes Us Different?

  • An opportunity to lead and make an impact: Take ownership of daily operations at an established practice with an expansion underway where your leadership directly influences team success, patient satisfaction, and business growth.
  • Autonomy with support: We empower our Operations Manager to make decisions, solve problems, lead initiatives, and implement improvements while maintaining open communication and collaboration with the owner and doctors.
  • Investment in your development: We provide leadership training, coaching, continuing education opportunities, and support for both professional and personal growth. We value leaders who are committed to continuous learning and applying what they learn.
  • A culture of emotional intelligence: We value kindness, self-awareness, accountability, humility, and constructive conflict resolution. We seek a grounded, emotionally mature leader who can navigate challenges calmly, receive feedback openly, and inspire others to do the same.
  • Advanced, patient-centered dentistry: You’ll work alongside clinicians offering comprehensive dentistry, clear aligners, airway-focused care, and innovative treatments in a modern, high-tech environment.
  • Meaningful patient relationships: Unlike high-volume corporate practices, we prioritize personalized service, quality over quantity, and lasting patient relationships. Our Operations Manager plays a vital role in protecting and elevating that experience.
  • Competitive compensation and benefits: Compensation is negotiable based on dental management experience and demonstrated leadership capabilities. Benefits include paid time off, paid sick time, retirement benefits, continuing education opportunities, and merit-based raises.

Who you'll work with

  • The Practice Owner (remote), your direct partner and manager
  • Two associate dentists
  • Two hygienists and two dental assistants
  • An in-office Front Desk / Patient Experience Coordinator who handles check-in, check-out, scheduling at checkout, and treatment plan estimates
  • A remote Virtual Front Desk Coordinator who handles phone calls, email, texts, scheduling, and patient follow-up

What you'll doRun the practice day to day

  • Act as the owner's on-site representative and make sound decisions in the owner's absence, using an owner's mindset
  • Lead daily morning huddles and make sure each day starts with a clear plan for production, the schedule, and patient needs
  • Solve operational problems quickly, from schedule gaps to staffing coverage, so they don't disrupt patient care
  • Keep the office running to standard: opening and closing, supplies and inventory, vendors, and facilities

Know the numbers and hit the goals

  • Track daily and monthly production, collections, case acceptance, new patients, and hygiene reappointment rates
  • Report on practice performance to the owner regularly, highlighting trends, risks, and opportunities
  • Find and act on ways to improve production and efficiency
  • Manage the schedule to maximize production and patient care, working with the front desk and the virtual coordinator

Lead and develop the team

  • Supervise and support all clinical and administrative staff and build a collaborative, accountable, and positive culture
  • Set clear expectations for professionalism, punctuality, phone use, and patient communication, and follow through on them consistently
  • Lead team meetings, run regular one-on-ones, give direct and constructive performance feedback, and support ongoing staff development
  • Coordinate a split front desk: an in-office coordinator and a remote virtual coordinator. Make sure handoffs, scheduling, and follow-ups are smooth between them
  • Recruit, interview, onboard, and train new team members with the owner
  • Write and maintain SOPs and process documentation so knowledge stays with the practice when people move on
  • Partner with the associate dentists and keep them motivated to meet productivity and quality standards
  • Work with the owner on personnel matters such as resignations, PTO, and performance issues, following practice policy and employment law

Grow the practice

  • Lead new patient acquisition by promoting the practice's services, strengthening referrals, and building relationships in the community
  • Manage the practice's online presence and reputation, including patient reviews
  • Track call volume and new patient inquiries, and work to grow them
  • Help prepare for and open two additional operatories, including scheduling, resource allocation, staffing, and team training

Deliver a great patient experience

  • Raise patient satisfaction and retention through efficient scheduling, clear communication, and consistent follow-up
  • Make sure treatment plans, insurance estimates, and financial conversations with patients are accurate and clear
  • Keep recall and unscheduled treatment follow-up running consistently

Manage technology and equipment

  • Be the go-to person for the practice management software (Curve), phones, and office technology
  • Troubleshoot technology issues and coordinate equipment maintenance and repairs with vendors to minimize downtime
  • Oversee technology upgrades and keep the practice current and efficient

What we're looking forRequired

  • 3+ years of people management experience, ideally leading a team of 8 or more in a healthcare, dental, or customer-facing service business
  • Proven ability to manage to numbers, including production goals, KPIs, and reporting
  • Strong communication skills and comfort giving direct feedback and having difficult conversations
  • Calm, level-headed problem solving under pressure
  • A self-starter who can work independently and make decisions with a remote owner
  • Comfort with technology and a quick learner on new systems

Nice to have

  • Dental or medical office management experience
  • Knowledge of dental insurance, treatment planning, and billing
  • Experience with Curve Dental or other dental practice management software
  • Marketing, business development, or patient acquisition experience
  • A degree in business, healthcare administration, or a related field
  • Experience opening new operatories or expanding a practice

Pay: $35.00 - $40.00 per hour

Benefits:

  • Employee discount
  • Paid time off
