Join Our Team at Gregoire Orthodontics!

Are you an enthusiastic, organized, and personable professional ready to make a difference? Gregoire Orthodontics is seeking an experienced Orthodontic Treatment Coordinator to join our growing team!

At Gregoire Orthodontics, we are a privately owned, veteran owned, family-oriented orthodontic practice committed to providing exceptional patient care in a welcoming, professional, and positive environment. With offices in Auburn and Yarmouth, Maine, we pride ourselves on building meaningful relationships with our patients and families while delivering high-quality orthodontic treatment.

We are looking for a motivated, detail-oriented individual who can create an outstanding experience for new patients, confidently explain treatment recommendations and financial arrangements, and help families take the next step toward achieving a beautiful, healthy smile.

About the Position

The Treatment Coordinator plays a critical role in the success and continued growth of our practice. As the primary point of contact for new patients and families, you will guide them through the orthodontic consultation process, from their initial inquiry to the start of treatment.

This position requires a unique combination of excellent interpersonal skills, administrative organization, clinical knowledge, and the ability to confidently present treatment and financial options.

Our ideal candidate is someone who genuinely enjoys working with people, takes initiative, follows through on commitments, and understands the importance of converting new patient consultations into treatment starts without sacrificing the personalized, patient-centered experience we strive to provide.

The Treatment Coordinator is also an integral member of our front office team and will assist with general administrative responsibilities as needed.

Key Responsibilities

New Patient Consultations & Treatment Coordination

  • Serve as a welcoming and knowledgeable point of contact for new patients and their families.
  • Coordinate and conduct new patient consultations alongside the orthodontist.
  • Obtain necessary diagnostic records, including digital radiographs and intraoral and extraoral photographs.
  • Clearly explain orthodontic treatment recommendations, options, timelines, and expectations.
  • Help patients and parents understand the benefits and value of recommended orthodontic treatment.
  • Coordinate referrals and communication with general dentists, oral surgeons, and other healthcare providers.
  • Ensure a smooth transition from consultation to treatment initiation.

Financial Presentations & Treatment Acceptance

  • Present treatment fees, payment arrangements, and available financing options in a clear, confident, and professional manner.
  • Help families understand their financial responsibilities, insurance benefits, and available payment options.
  • Prepare accurate treatment contracts and financial agreements.
  • Collect down payments and other payments associated with treatment.
  • Address patient questions and financial concerns with professionalism, empathy, and a solution-oriented approach.
  • Work toward practice goals for new patient conversion and treatment starts while maintaining an exceptional patient experience.

Patient Follow-Up & Practice Growth

  • Promptly respond to new patient inquiries and referrals.
  • Maintain consistent, proactive communication with prospective patients who have not yet scheduled consultations or started treatment.
  • Follow up with observation and recall patients who may be ready to begin orthodontic treatment.
  • Maintain accurate records of patient communications and follow-up activities.
  • Identify opportunities to improve the patient experience, consultation process, and treatment acceptance.
  • Assist in tracking new patient activity, treatment starts, and other practice performance indicators.

Administrative & Front Office Support

  • Schedule consultations, treatment appointments, and recall visits.
  • Maintain accurate and complete patient records.
  • Answer telephone calls, respond to emails, and assist patients with questions.
  • Coordinate with the orthodontist, clinical assistants, and administrative team to maintain efficient patient flow.
  • Assist with patient check-in, payment processing, and other front office responsibilities as needed.
  • Contribute to a positive, collaborative, and professional team environment.

Qualifications

  • High school diploma or GED.
  • Minimum of two years of experience working in a dental practice (preferrably orthodontics).
  • Excellent interpersonal and communication skills.
  • Strong organizational skills, attention to detail, and ability to manage multiple responsibilities.
  • Comfortable discussing treatment fees, financial arrangements, and payment options.
  • Proficiency with computers and the ability to learn practice management software.
  • Professional appearance and demeanor.
  • Ability to work independently, take initiative, and follow through on responsibilities.
  • Current CPR certification or willingness to obtain certification
