The ideal candidate will serve as a vital link between patients and the clinical team, managing treatment plans, insurance verifications, and patient communications. This role requires excellent customer service skills, proficiency with dental office systems, and a thorough understanding of dental terminology and healthcare documentation. The Dental Treatment Coordinator will ensure smooth clinic operations while providing exceptional patient care support.

Position Overview

As the Treatment Coordinator, you will be the primary point-of-contact for patients once treatment plans are recommended. You will guide patients through their options, explain insurance, financing, and next steps, and coordinate with the clinical and administrative teams to ensure a smooth experience. You’ll play a key role in helping patients move forward with their dental care while maintaining high levels of care, communication, and professionalism.

Key Responsibilities

  • Meet with patients after clinical consultations to review recommended treatment plans.
  • Explain procedures, treatment timelines, costs, insurance benefits, and available financing options.
  • Work closely with insurance carriers to verify benefits and assist patients in claims or pre-authorizations.
  • Present and schedule treatment, handle patient questions and concerns, and follow up on acceptance.
  • Coordinate scheduling with clinical and administrative teams to optimize chair time and practice flow.
  • Maintain accurate records in the practice management system (PMS) like Open Dental
  • Help monitor treatment plan acceptance rates, identify obstacles, and suggest improvements.
  • Act as a professional ambassador for the practice, promoting a patient-first culture.

Qualifications

  • 3+ years experience in a dental practice, in treatment coordination, front-desk/office operations.
  • Excellent interpersonal and communication skills; comfortable discussing treatment, finances, and insurance with patients.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks/priorities.
  • Familiarity with dental insurance (PPOs and Medi-Cal), benefits, treatment planning, patient financing (e.g., CareCredit or similar).
  • Proficiency with dental practice software (Open Dental) and MS Office (Excel, Word, email).
  • Positive, friendly, proactive attitude; team-oriented and committed to delivering outstanding patient service.
  • Fluency in Spanish Language as well as English is a requirement.

Compensation & Benefits

  • Hourly base wage: $26-$30/hour (depending on experience)
  • Performance incentive/bonus related to treatment acceptance and practice growth
  • Full-time schedule (Monday-Friday), Availability on Saturdays is a plus
