Perfect Smiles Dentistry is seeking a detail-oriented, patient-focused Dental Billing Administrator to join our exceptional private-practice team.

In this dedicated revenue-cycle role, you will help keep our billing systems accurate, organized, and patient-friendly—from insurance verification and claim submission to payment posting, follow-up, and account resolution.

You will not be expected to manage everything alone. This is not a front-desk position. While you will collaborate closely with treatment coordinators, the clinical team, and leadership, your primary focus will be dental insurance, claims, payment posting, accounts receivable, and compassionate patient financial communication.

The Role

As our Dental Billing Administrator, you will play an important role in making dental care accessible and financial communication clear for patients and families.

You will work closely with patients, insurance carriers, clinical team members, treatment coordinators, and leadership to ensure that claims are accurate, payments are posted correctly, and outstanding balances are handled professionally and compassionately.

This is a clearly defined billing and revenue-cycle position. You will not be expected to carry every administrative responsibility of the front desk. Instead, your focus will remain on insurance, claims, payment posting, accounts receivable, and patient financial communication.

What You’ll Do

As part of our billing team, you will:

  • Verify dental insurance eligibility, benefits, deductibles, annual maximums, limitations, and waiting periods.
  • Submit accurate and timely insurance claims, attachments, preauthorizations, narratives, and supporting documentation.
  • Monitor claims throughout the full lifecycle, including rejections, denials, pending claims, appeals, corrections, and resubmissions.
  • Review Explanation of Benefits (EOB) documents and accurately post insurance payments, adjustments, and patient balances.
  • Manage accounts receivable and aging reports, following up appropriately with insurance carriers and patients.
  • Respond to patient billing questions in a professional, helpful, and respectful manner.
  • Communicate insurance limitations, outstanding balances, and payment options with clarity and compassion.
  • Partner with doctors and clinical team members to obtain accurate clinical notes, narratives, radiographs, procedure codes, and documentation needed to support claims.
  • Participate in weekly billing-team huddles and contribute to a positive, aligned work environment.
  • Identify opportunities to improve workflows, reduce claim delays, strengthen collection outcomes, and improve the patient financial experience.

Preferred Qualifications

  • Experience with dental insurance billing, claims management, payment posting, and accounts receivable.
  • Working knowledge of dental procedure codes, insurance terminology, EOBs, benefit verification, claim narratives, and preauthorizations.
  • Experience following up on unpaid, delayed, rejected, or denied insurance claims.
  • Proficiency with dental practice-management software, electronic patient records, Microsoft Office, and reporting tools.
  • Strong attention to detail and the ability to maintain accurate financial and patient records.
  • Excellent customer-service and communication skills, especially when discussing financial matters with patients.
  • Ability to work independently, prioritize multiple responsibilities, and collaborate effectively with clinical and administrative team members.
  • Commitment to confidentiality, compliance, and respectful patient communication.
