The role

A referral to a specialist can feel overwhelming for a patient. They're wondering: Why do I need this? What will it cost? Will insurance cover it? How long will it take? That's where you come in.

You'll be the person who turns that uncertainty into confidence. You'll reach out to new referrals, walk patients through their options, and guide them from referral all the way to treatment acceptance. You'll partner with doctors, clinical teams, and referring providers, and help keep our specialty schedules full across multiple offices. This is more than a scheduling role. It's a chance to make a real difference for patients and for the growth of our offices.

What you'll do

• Connect with oral surgery and orthodontic referrals within 24 hours
• Build strong relationships with patients and referring providers
• Present treatment plans, procedures, timelines, insurance information, and financing options in a way patients actually understand
• Help patients feel informed and confident about moving forward with care
• Follow up with patients who haven't scheduled treatment yet
• Follow up on cancellations and no-shows to keep schedules full
• Track referrals, patient communication, appointments, and case acceptance
• Process patient payments and assist with claims follow-up
• Partner with doctors and clinical teams so treatment recommendations are communicated accurately
• Travel between our San Antonio offices, with occasional planned trips to offices outside the area

What you'll bring

• 1–2 years of experience in a dental setting
• Experience with oral surgery, orthodontics, treatment coordination, or case acceptance
• Knowledge of dental procedures, specialty workflows, insurance, financing, and ADA codes
• Confidence presenting treatment and discussing costs (you can comfortably talk through the money side of care)
• Strong communication skills and a natural gift for building rapport
• A compassionate, professional, and dependable approach
• Strong organization and the ability to manage multiple priorities without constant supervision
• Reliable transportation and comfort traveling between San Antonio-area offices
• Motivation that comes from both great patient care and measurable results
• Bonus points: Experience with Open Dental or OrthoFi
