Senior Dental Treatment & Insurance Coordinator

Aspiring Smiles is looking for an experienced dental professional who knows how to turn treatment plans into scheduled dentistry, keep insurance and A/R under control, and help lead a team toward its daily goals.

This is not an entry-level position and it is not a traditional front-desk role.

We are looking for someone with 5+ years of strong dental experience who can confidently own three critical areas of the practice: treatment coordination, insurance, and patient financial coordination.

You should already know how to read and understand dental treatment plans, work with PPO insurance, explain benefits and patient portions, discuss financing, overcome financial objections, close treatment, and keep a doctor's schedule productive.

WHAT YOU'LL OWN

Treatment Coordination & Case Acceptance

• Prepare and present comprehensive treatment plans
• Confidently discuss treatment, insurance estimates, patient portions, and financial arrangements
• Follow up on unscheduled and incomplete treatment
• Help patients overcome financial barriers to care
• Present financing options and assist patients with applications
• Maintain strong treatment acceptance and scheduling metrics
• Keep the doctor's schedule productive by actively working outstanding treatment

Dental Insurance

• Strong working knowledge of PPO dental insurance
• Understand benefits, frequencies, limitations, downgrades, waiting periods, maximums, deductibles, and exclusions
• Review open insurance claims and outstanding insurance reports
• Follow up on unpaid, delayed, or denied claims
• Work insurance A/R proactively instead of waiting for problems to appear
• Post insurance payments accurately and timely
• Identify discrepancies, incorrect payments, and claims requiring additional follow-up

Financial & A/R Responsibilities

• Review patient and insurance A/R
• Collect patient balances
• Maintain accurate financial arrangements
• Work outstanding balances and aging reports
• Help protect the financial health of the practice through consistent follow-up and accountability

Scheduling & Practice Growth

• Understand how to build and maintain a productive dental schedule
• Fill openings strategically instead of simply placing names on the schedule
• Work unscheduled treatment and outstanding treatment reports
• Recognize opportunities to improve production, collections, case acceptance, and patient retention
• Understand that every empty chair represents both a patient who still needs care and lost practice production

LEADERSHIP MATTERS

We want someone who comes to work prepared for the day, not reacting to the day.

You will participate in and help lead daily morning huddles, know the day's opportunities and challenges before patients arrive, understand the team's production and scheduling goals, and help keep everyone moving toward those goals.

You should be comfortable working with measurable expectations and being accountable for results.

• Has 5+ years of dental office experience
• Has significant treatment coordination and dental insurance experience
• Is a proven treatment closer
• Understands how to fill and maximize a doctor's schedule
• Knows dental terminology and procedure codes
• Is highly organized and able to multitask
• Can manage reports and follow-up without being reminded
• Is comfortable discussing money and financing with patients
• Is upbeat, energetic, warm, and genuinely enjoys working with people
• Communicates professionally with patients, doctors, and team members
• Takes ownership instead of waiting to be told what needs to happen
• Can help lead others toward daily goals
• Understands practice metrics and wants to help grow the practice
• Presents professionally in business-casual attire
