💰 Avg $58.51k–$76.3k

Medical Insurance & Billing Experience Required

Lighthouse Oral & Maxillofacial Surgery is seeking an experienced, hands-on Medical Office Manager to lead the daily operations of our Houston Medical Center office.

This is not a traditional dental office management position. Our practice handles complex oral and maxillofacial surgery cases involving medical and dental insurance, hospital procedures, specialist clearances, surgical scheduling, and coordination with orthodontic and referring offices.

We are looking for a strong healthcare leader who understands both the patient-care and business sides of a specialty surgical practice.

Schedule

Monday–Friday | 7:00 AM–4:00 PM

No weekends

About the Role

Our surgeons maintain hospital privileges, and many of our cases require coordination beyond the four walls of the practice.

The Office Manager must be comfortable overseeing cases that may involve:

  • Hospital surgery scheduling and coordination
  • Hospital documentation and administrative requirements
  • Preoperative patient clearances
  • Medical clearance from primary care physicians and specialists
  • Coordination with cardiology, pulmonology, hematology, endocrinology, and other specialties when required
  • Communication with hospital scheduling departments and surgical facilities
  • Medical insurance verification and authorization requirements
  • Coordination of medical and dental benefits
  • Communication with orthodontic offices for orthognathic and multidisciplinary cases
  • Communication with referring dentists and specialty providers
  • Collection and organization of records, imaging, referrals, clearances, and supporting documentation before surgery
  • Ensuring patients are administratively and financially ready before their scheduled procedure

The person in this position must be able to look at a complex surgical case, understand what is still outstanding, and make sure the appropriate parties are communicating and following through.

Your Role

As Office Manager, you will oversee the daily administrative and operational performance of the practice while creating an organized, accountable, and patient-focused environment.

Responsibilities include:

  • Lead and support the front-office and administrative team
  • Oversee daily office operations and patient flow
  • Coordinate complex surgical cases from consultation through treatment
  • Oversee hospital scheduling and required documentation
  • Track medical and specialist clearances prior to surgery
  • Communicate with hospitals, physicians, specialists, orthodontists, referring doctors, and outside facilities
  • Maintain accountability for scheduling, collections, insurance verification, authorizations, and follow-up
  • Review insurance and billing issues and coordinate with our outside billing team
  • Monitor outstanding accounts and identify breakdowns in the revenue cycle
  • Ensure surgical cases are financially and administratively prepared before treatment
  • Manage patient concerns professionally and confidently
  • Maintain strong communication between doctors, clinical staff, administrative staff, hospitals, referring offices, and outside vendors
  • Train and coach team members while setting clear expectations
  • Monitor staff performance, attendance, productivity, and workflow
  • Help improve office systems, policies, and operational efficiency
  • Protect patient confidentiality and maintain HIPAA compliance
  • Create a professional, organized, and welcoming patient experience

Medical Insurance & Billing Knowledge Is Required

Although this is an Office Manager position, candidates must have a strong working knowledge of medical insurance and the medical revenue cycle.

You should be comfortable with:

  • Medical insurance verification and benefits
  • Prior authorizations and pre-certifications
  • Medical claims and claim status
  • EOBs and insurance payments
  • Denials and appeals
  • Corrected claims
  • Accounts receivable
  • Patient financial responsibility
  • Medical necessity requirements
  • Medical vs. dental insurance coordination
  • Documentation requirements for surgical procedures
  • Communicating with insurance carriers and billing teams to resolve issues

Candidates without medical insurance/billing experience will not be considered.

The right candidate is:

  • Highly organized
  • Proactive rather than reactive
  • Comfortable making decisions
  • Strong with follow-through
  • Professional when dealing with physicians, hospitals, patients, and insurance companies
  • Able to manage multiple moving pieces without losing sight of details
  • Comfortable holding team members accountable
  • Calm and solution-focused when complications arise
  • Able to communicate confidently with both clinical and administrative professionals

Required Qualifications

  • Previous management or leadership experience in a medical, surgical, or specialty healthcare practice
  • Medical insurance and medical billing experience required
  • Strong understanding of insurance verification, authorizations, claims, denials, and patient responsibility
  • Experience communicating with insurance companies and/or third-party billing companies
  • Strong leadership and problem-solving skills
  • Excellent written and verbal communication
  • Strong organizational and follow-through skills
