Front Office Lead / Treatment Plan Coordinator

The Valley Dentistry is a privately owned family dental practice led by a husband-and-wife team. We’re looking for an experienced Front Office Lead / Treatment Plan Coordinator who takes pride in helping patients feel welcome, understand their care, and confidently move forward with treatment.

This is a hands-on leadership role. You will guide the daily front office workflow, coordinate the patient journey from the first phone call through follow-up care, and help the team maintain a smooth, productive schedule. We’re looking for someone who is organized, warm, proactive, and comfortable discussing treatment and finances with patients.

What you’ll do

Create an excellent patient experience

  • Welcome patients, answer calls and messages promptly, and make every interaction professional and personal.
  • Help new patients understand what to expect and ensure paperwork, appointments, and follow-up needs are handled.
  • Listen to patient concerns, resolve service issues thoughtfully, and keep the doctors informed when a patient needs additional attention.
  • Build lasting relationships that encourage patients to return and refer friends and family.

Own scheduling and patient follow-through

  • Manage the schedule to support patient needs, clinical flow, and office production goals.
  • Confirm appointments, fill openings, follow up with overdue patients, and help patients schedule recommended treatment.
  • Coordinate appointments involving multiple visits, providers, or outside specialists.
  • Keep patients informed about their next steps so treatment does not get lost between diagnosis and scheduling.

Coordinate and present treatment

  • Prepare accurate treatment plans based on the doctor’s recommendations.
  • Review recommended care with patients in clear, compassionate language and answer nonclinical questions.
  • Explain treatment sequencing, appointment timing, estimated insurance benefits, and estimated patient portions.
  • Discuss payment options, address concerns without pressure, and follow up with patients who have not yet scheduled.
  • Partner closely with the doctors and clinical team so patients receive consistent information throughout their visit.

Verify insurance and prepare financial estimates

  • Verify eligibility, benefits, limitations, frequencies, deductibles, and remaining benefits before appointments when possible.
  • Maintain accurate insurance information in the practice management system.
  • Prepare and explain estimates while making clear that final insurance payment depends on the plan’s determination.
  • Collect patient portions and help patients understand their financial arrangements.

Lead the front office day

  • Lead the morning huddle with the team, reviewing the schedule, patient needs, treatment opportunities, and potential obstacles.
  • Set priorities for the front office and communicate clearly with the clinical team.
  • Monitor unscheduled treatment, cancellations, open appointment time, and other patient-focused opportunities to improve production.
  • Suggest practical improvements to workflows and help create an organized, positive office environment.

Insurance claim submission, posting, and follow-up billing are not part of this position.

What we’re looking for

  • Experience in a dental front office role with significant responsibility for scheduling, insurance verification, and treatment coordination.
  • Confidence presenting treatment and discussing financial estimates with patients.
  • Excellent communication, organization, follow-through, and problem-solving skills.
  • A welcoming presence and a genuine commitment to excellent patient care.
  • The ability to lead a huddle, anticipate needs, and take ownership without waiting to be asked.
  • Experience with Open Dental is a plus, but not required.
  • Experience in a privately owned dental practice is also a plus.

Pay: $26.00 - $32.00 per hour
