Dental Treatment Coordinator & Front Desk ManagerPosition Summary

We are seeking a friendly, professional, and highly organized Dental Treatment Coordinator & Front Desk Managerto join our technology-driven dental practice.

This is a combined role responsible for both front desk operations and treatment coordination. The ideal candidate will create an exceptional patient experience while ensuring that the front office runs efficiently and that patients clearly understand and move forward with recommended treatment.

The successful candidate should be confident communicating with patients, discussing treatment plans and financial options, coordinating appointments, following up with patients, and supporting the doctor and clinical team.

Previous dental experience is preferred, particularly experience in treatment coordination, dental reception, or dental office management.

Key Responsibilities

Front Desk & Office Management

  • Serve as the first point of contact for patients and visitors.
  • Greet patients in a warm, professional, and welcoming manner.
  • Answer phone calls, texts, emails, and other patient inquiries.
  • Manage the practice schedule and coordinate appointments efficiently.
  • Confirm appointments and proactively manage cancellations and no-shows.
  • Maintain accurate patient information and documentation.
  • Coordinate patient check-in and check-out.
  • Collect payments and assist with insurance and financial questions.
  • Maintain an organized and professional front desk environment.
  • Manage administrative tasks, correspondence, and office supplies.
  • Support smooth communication between patients, doctors, hygienists, and the administrative team.
  • Help maintain efficient daily office flow.

Treatment Coordination & Patient Experience

  • Present and explain treatment plans to patients in a clear, professional, and patient-friendly manner.
  • Help patients understand recommended procedures, treatment priorities, timelines, and next steps.
  • Discuss treatment fees and available payment/financing options.
  • Answer patients' questions and address concerns regarding recommended treatment.
  • Follow up with patients who have unscheduled or incomplete treatment.
  • Track treatment plans and case acceptance.
  • Coordinate appointments required to complete treatment plans.
  • Communicate with doctors and clinical staff regarding treatment plans and patient needs.
  • Help patients feel comfortable and confident moving forward with recommended care.
  • Maintain regular follow-up with treatment-plan patients through phone, text, and email.
  • Identify opportunities to improve patient retention, treatment acceptance, and overall patient experience.
  • Ensure patients receive consistent and professional communication throughout their treatment journey.

Patient & Practice Growth

  • Build strong relationships with patients and encourage long-term patient loyalty.
  • Support patient retention and reactivation initiatives.
  • Follow up with inactive patients and outstanding treatment plans.
  • Assist with recall and hygiene scheduling.
  • Help maximize the practice schedule and reduce unused appointment time.
  • Monitor treatment acceptance and identify barriers preventing patients from proceeding with care.
  • Contribute to achieving practice production, collection, and patient experience goals.
  • Maintain a service-oriented, relationship-based approach rather than a high-pressure sales approach.

Skills & Qualifications

  • Previous experience in a dental office, medical office, customer service, or professional front-desk environment.
  • Dental treatment coordination experience is strongly preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Professional, warm, and confident communication style.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfortable discussing treatment fees and financial options with patients.
  • Strong attention to detail.
  • Ability to handle sensitive patient situations with patience and professionalism.
  • Computer literacy and ability to quickly learn dental practice management software.
  • Familiarity with Google Workspace and other office software.
  • Ability to work independently while collaborating effectively with the clinical team.
  • Bilingual skills are a plus but not required.
