We are seeking a confident, experienced, and highly organized Dental Office Manager to take ownership of the day-to-day operations of a growing dental practice.

The ideal candidate is a strong leader who understands that an effective dental office requires more than simply keeping the schedule full. This person must be able to create and implement systems, manage and develop a team, improve office efficiency, monitor performance, increase treatment acceptance, and hold employees accountable to established standards.

The Office Manager will work closely with the doctors and leadership team to ensure the practice operates efficiently, professionally, and profitably while maintaining an exceptional patient experience.

Key Responsibilities

Leadership & Team Management

  • Lead, manage, and motivate the entire dental team.
  • Establish clear expectations, responsibilities, and performance standards for every team member.
  • Hold employees accountable for completing their assigned duties and following office protocols.
  • Conduct regular team meetings and morning huddles.
  • Address employee performance issues promptly and professionally.
  • Assist with hiring, onboarding, training, coaching, and disciplinary actions.
  • Create a positive, professional, respectful, and accountable workplace culture.
  • Identify team weaknesses and implement training and improvement plans.

Systems & Office Organization

  • Develop, implement, and maintain efficient systems and workflows throughout the practice.
  • Create standardized procedures for front office, clinical support, scheduling, sterilization, patient flow, collections, treatment coordination, and follow-up.
  • Ensure team members consistently follow established systems.
  • Identify operational problems and create practical solutions.
  • Monitor systems regularly and make improvements when needed.
  • Create accountability systems and measurable performance standards.
  • Ensure the office remains organized, efficient, and prepared for growth.

Practice Operations

  • Oversee daily operations of the dental office.
  • Monitor patient flow, scheduling, cancellations, no-shows, and production opportunities.
  • Ensure the schedule is optimized and productive.
  • Monitor office production, collections, accounts receivable, and key performance indicators.
  • Work with the billing and front-office teams to improve collections and reduce outstanding balances.
  • Ensure insurance verification, claims, treatment plans, and financial arrangements are handled accurately and efficiently.
  • Maintain compliance with office policies, OSHA requirements, HIPAA standards, and applicable regulations.

Patient Experience & Treatment Coordination

  • Ensure patients receive a professional, welcoming, and consistent experience.
  • Handle escalated patient concerns and complaints professionally.
  • Monitor treatment acceptance and identify opportunities for improvement.
  • Ensure treatment coordinators and front-office staff are properly presenting treatment and financial options.
  • Follow up on unscheduled treatment and outstanding treatment plans.
  • Help the team improve communication and case presentation skills.

Financial & Performance Management

  • Track and understand practice KPIs and financial performance.
  • Monitor daily, weekly, and monthly production and collection goals.
  • Analyze practice performance and identify areas for improvement.
  • Help develop strategies to increase production, collections, treatment acceptance, and patient retention.
  • Monitor payroll, staffing levels, and operational expenses.
  • Work with doctors/ownership on budgeting and practice growth strategies.

Staff Accountability

The Office Manager is expected to be a leader, not simply a supervisor.

The successful candidate must be comfortable:

  • Setting clear expectations.

  • Having difficult conversations when necessary.
  • Enforcing office policies consistently.
  • Recognizing high-performing employees.
  • Correcting problems before they negatively affect the practice.

Required Qualifications

  • Minimum 5 years of dental office management experience.
  • Strong understanding of dental office operations.
  • Proven experience managing a dental team.
  • Demonstrated ability to create and implement office systems.
  • Strong knowledge of dental scheduling, insurance, billing, collections, and treatment coordination.
  • Experience monitoring production and practice KPIs.
  • Strong leadership and communication skills.
  • Excellent problem-solving and decision-making abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfortable having difficult conversations and holding staff accountable.
  • Strong computer and dental practice management software skills.
  • Professional, confident, organized, and dependable.

Preferred Qualifications

  • Experience managing a growing or multi-provider dental practice.
  • Experience implementing new systems and improving existing workflows.
  • Experience with treatment acceptance and case presentation.
  • Experience with insurance PPO processes and dental billing.
  • Experience training and developing dental teams.
  • Experience with practice management software such as Curve or similar systems.
  • Experience using KPIs and reports to manage practice performance.

Pay: $62,000.00 - $70,000.00 per year
