Front Desk Coordinator — Smiley Dental (Rockville, MD)

Job Type: Full-Time — Monday–Friday, 9:00am–5:00pm
Location: Rockville, MD (in-person)

Schedule note: Through December 2026, this role is Monday, Wednesday, Thursday, and Friday. Tuesdays are added starting the week of January 4, 2027, for a full Monday–Friday schedule. Please only apply if you can consistently work this schedule.

About Us
Smiley Dental is a fee-for-service practice in Rockville — “Dentistry with intention.” Today, most of our patients come to us for family and general dentistry, and we’re not a high-volume, insurance-driven office. We’re also intentionally building toward a more cosmetic and esthetic-focused practice over time, so you’ll see that shift happening in real time. Either way, we treat patients well and invest heavily in continuing education. Our team needs to match that standard: sharp, warm, and unflappable, even when the day gets busy.

The Role
We’re hiring a Front Desk Coordinator to be the first face and voice our patients experience, in person and on the phone. This is a small office where everyone pitches in, so expect to wear multiple hats: front desk, scheduling, patient accounts, and keeping the day running smoothly. Insurance verification and billing are handled by an outside partner, so your focus stays on patients and the schedule. The right person will grow with us. Over time, this role can expand into training new team members and owning how our front office runs.

What You’ll Own

• Greet patients and manage check-in and check-out with warmth and efficiency
• Answer phones, manage scheduling, and keep the appointment book running smoothly
• Confirm appointments and handle recall and reactivation outreach
• Collect and update patient insurance information, and coordinate with our insurance partner as needed
• Walk patients through their treatment estimates and answer basic account questions
• Manage payment collection, payment plans, and third-party financing (e.g., CareCredit)
• Follow up with patients on unscheduled or incomplete treatment
• Jump in wherever the day needs you

What We’re Looking For

• 2+ years of experience in a dental front office (medical front office considered)
• Open Dental experience strongly preferred
• Basic understanding of how dental insurance works, enough to explain an estimate to a patient
• Growth-minded: you want to keep learning new skills, systems, and technology, not just clock in and out
• A true team player who is willing to take on whatever the day requires
• Genuinely good with people: you read a room and make patients feel taken care of
• Organized and unbothered by a busy day
• Comfortable having direct, clear financial conversations with patients
