Dental Office Manager Job Description Template

Copy it, edit the bracketed parts. There's no licence to check here, but there is a lot of buried scope of authority.

Most office-manager job descriptions fail on the same thing: they describe a personality ("organized, detail-oriented team player") instead of a scope of authority. A hygienist template goes wrong on state law; this one goes wrong on ownership, whether the person hired actually controls payroll, collections, and staffing, or just coordinates them.

What to include

The scope of authority, spelled out: say explicitly whether this person owns payroll, collections, hiring and firing, or supervises clinical staff, since "runs the office" means wildly different things at different practices, and vague scope is the single most common reason this hire doesn't work out.

A pay range: ranges are increasingly required by law in a growing number of states, and listings without one get fewer qualified applicants regardless.

Quote from the directional range rather than a specific national figure, since there is no dental-specific BLS wage for this role to cite.

The software you run: naming Dentrix, Eaglesoft, Open Dental, or whatever system your practice uses lets an experienced candidate self-select in immediately, and tells an inexperienced one exactly what they'd need to learn.

The reporting line: whether the manager answers to an owner-dentist directly, a DSO regional manager, or both, since that shapes how much real authority the job actually carries.

To apply: [HOW TO APPLY]

This role has no scope-of-practice line to get wrong, because it isn't licensed, but it has a scope-of-role line that's just as easy to get wrong. "Runs the office" can mean full P&L ownership at one practice and pure coordination at another, with a completely different person suited to each.

Say which one this is before you post, not after an offer is accepted, since a candidate who expected real authority and finds out they don't have it is the fastest way to lose a strong hire in the first ninety days.

After you post

Verify employment history directly with previous employers, since there's no licence board to check and a résumé alone isn't enough for a role this consequential to a practice's finances.

Expect strong candidates to ask pointed questions back about the actual scope of authority and the reporting line; treat those questions as a good sign, not pushback.
